Virtually Engaged (“ Virtually Engaged ,” “ we ,” “ us ,” or “ our ”) provides an event engagement platform that includes second-screen presentation delivery, audience Q&A, live leaderboards, and AI-assisted grading of attendee responses. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, use our marketing demo, or use our platform as a client or event attendee.
1. Who this policy applies to
This policy applies to:
- Website visitors who browse virtuallyengaged.com or submit demo or contact forms.
- Clients (event organizers, employers, training providers) who contract with us to run events.
- Attendees who participate in events powered by Virtually Engaged through a client-hosted session.
When a client runs an event, the client is typically the data controller for attendee information collected for that event. Virtually Engaged acts as a service provider / processor on the client’s behalf, subject to our agreement with that client.
2. Information we collect
Information you provide directly
- Contact details (name, work email, organization, event type) when you request a demo, sample report, or contact sales.
- Account and billing information when you become a client.
- Content you submit in the website demo simulator (sample answers to case scenarios).
- Responses, notes, Q&A submissions, and other content entered by attendees during live events.
Information collected automatically
- Device and browser type, IP address, pages viewed, referring URL, and general usage data on our website.
- Session identifiers, timestamps, and technical logs needed to operate and secure the platform.
- Demo leaderboard entries stored locally in your browser (localStorage) when you use the website simulator.
AI processing
When AI grading is enabled, attendee or demo responses may be processed by third-party AI services to generate scores, feedback, and analytics. We configure those services to support our grading features and do not use attendee content for unrelated model training unless explicitly agreed in writing with a client.
3. How we use information
We use information to:
- Provide, operate, and improve the Virtually Engaged platform and website.
- Deliver live event features (slides, Q&A, grading, leaderboards, exports).
- Respond to demo requests, sales inquiries, and customer support.
- Send service-related communications and, with consent where required, marketing messages.
- Monitor usage, troubleshoot issues, prevent abuse, and protect security.
- Comply with legal obligations and enforce our Terms of Service.
4. How we share information
We may share information with:
- Clients — event data, scores, and reports for events they operate.
- Service providers — hosting, analytics, email, payment, and AI infrastructure vendors under contractual safeguards.
- Legal and safety — when required by law, to protect rights and safety, or to respond to lawful requests.
- Business transfers — in connection with a merger, acquisition, or sale of assets, with notice where required.
We do not sell personal information.
5. Cookies and similar technologies
Our website and platform may use cookies, local storage, and similar technologies for authentication, preferences, analytics, and demo functionality. You can control cookies through your browser settings. Disabling cookies may limit some features.
6. Data retention
We retain information for as long as needed to provide services, fulfill contractual obligations, resolve disputes, and comply with law. Client event data retention periods may be set by the client or by our service agreement. Website demo data stored in your browser can be cleared by you at any time via browser settings.
7. Security
We implement administrative, technical, and organizational measures designed to protect information, including access controls and encryption in transit where appropriate. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
8. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal information, or to object to certain processing. Attendees should contact the event organizer (client) first for event-specific requests; clients and website visitors may contact us directly.
California residents may have additional rights under the CCPA/CPRA. EEA/UK residents may have rights under GDPR. We will respond to verified requests in accordance with applicable law.
9. International transfers
If you access our services from outside the United States, your information may be processed in the U.S. and other countries where we or our service providers operate. We take steps designed to ensure appropriate safeguards where required.
10. Children’s privacy
Our services are intended for professional and educational events and are not directed to children under 13 (or 16 in certain jurisdictions). We do not knowingly collect personal information from children. Contact us if you believe we have done so.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the “Last updated” date. Material changes may be communicated by email or prominent notice where appropriate.
